Velvet Vibe Events (VVE) – Terms & Conditions

Thank you for choosing Velvet Vibe Events (VVE) for your special occasion. Please review the following terms and conditions that govern all rentals and event services provided by VVE.

1. Definitions

• Rental Space: The designated venue provided by VVE for events.

• Equipment: Includes the inflatable nightclub and all available add-ons listed in the Venue Menu.

• Client: The individual or entity responsible for booking and payment.

• Event: The occasion for which the Rental Space and Equipment are used.

• Rental Period: The specific time frame agreed upon for rental and usage of space and/or equipment.

2. Booking Timeline

• Initial Booking: Submit your request online or by phone.

• Deposit Due: 25% deposit is required within 24 hours of booking acceptance to secure your date.

• Final Payment: The remaining balance is due 14 days before the Event Date.

• Late Payments: Failure to meet payment deadlines may result in cancellation and forfeiture of your deposit.

3. Cancellation Policy

• 30+ Days Before Event: Full refund (excluding deposit)

• 14–29 Days Before Event: 50% refund of total amount (deposit non-refundable)

• Less Than 14 Days: No refund issued

• Weather-Related Cancellations (Outdoor Equipment Only): VVE may cancel for safety reasons due to severe weather. In such cases, a full refund including deposit will be issued or rescheduling will be offered.

4. Cleaning and Trash Policy

• A standard cleaning fee of $50 will be included in your invoice.

• Any excessive mess or damage will incur additional charges.

• Clients are responsible for removing all personal items and bagging trash at the end of the event.

• Extra trash bags are available for $5 each.

5. Liability & Conduct

• The Client is liable for any damages caused by themselves, guests, or vendors.

• VVE is not responsible for personal items left unattended or for injuries resulting from misuse of the equipment.

• Clients are responsible for ensuring all guests adhere to rules provided by VVE staff.

6. Permits, Insurance & Regulations

• Clients are responsible for obtaining permits if required (e.g., street closures, amplified sound).

• Proof of general liability insurance may be required for larger events or events with alcohol.

• Compliance with local laws is the responsibility of the Client.

VVE can accommodate a wide variety of events, including but not limited to:

• Paint & Sip

• Holiday Parties

• Tea Parties

• Weddings

• Business Meetings

• Rallies

• Date Nights

• Baby Showers

• Bridal Showers

• Bachelor/Bachelorette Parties

• Movie Nights (Indoor/Outdoor)

• Block Parties

• Spa Days

• Ladies’ Retreats

• Airbnb Hosting (for visiting guests)

9. Miscellaneous

• Force Majeure: VVE is not responsible for cancellations due to unforeseen events (natural disasters, pandemics, government restrictions).

• Amendments: VVE may revise these terms at any time; updates will be posted on our website.

• Governing Law: This agreement is governed by the laws of the Commonwealth of Pennsylvania.
